Basic Steps To Website Creation

Basic requirements

Before starting you’ll need all the following:

• A Personal Computer
• An Internet connection
• A basic understanding of computers

A HTML editor (a web construction tool) which can be downloaded for free online. Or a desktop publishing package which you can buy from computer software retailers.

If you really want to splash out you could buy an advanced package like Microsoft FrontPage, Dreamweaver, or Adobe GoLive. You also need a place on the Web to publish your website once it has been created.

You should also have some idea of your objectives — what you want your website to look like design and content-wise, and what you expect it to achieve.

Writing your web pages

Web pages are written in HTML– HyperText Markup Language, which is used to create documents on the Internet.

An HTML web editor will help you write these web pages. More sophisticated programs like Dreamweaver will write them for you, although you can write your own web pages with a word processor programs like Word, if you are prepared to take the time to learn how to write in HTML coding.

Basic HTML

HTML is a series of tags, with the < and > symbols holding directions which tell the web server what to display. All HTML tags have different meanings, for example

in HTML would mean the start of a new paragraph on a webpage, and would mean the text on the page should be bold. HTML tags almost always appear in pairs that relate to starting and ending an instruction.

If you wanted to begin a new page you would start with the opening tag (this tag lets your web browser know it is a new page), at the end of the page you would insert the closing tag .

Basic HTML

Closing tags are generally just the opening tag with the addition of a / forward slash symbol.

When you save a document that’s going to be a webpage you must make sure it’s name ends with .html so that your browser knows it is about to encounter an HTML document. For example your homepage could be saved as index.html. Learning HTML is not difficult but it does take time.

If you use a web hosting company you don’t have to worry about learning HTML or importing graphic images as they build, host, and maintain your site for you.

Graphics

A simple way of adding another dimension to your website is to use images, pictures and graphics. Most browsers will facilitate .gif and .jpeg images, but don’t go overboard — the larger the image the longer to download. Most users won’t wait more than 10 seconds for a webpage to download.

Hyperlinks

Hyperlinks take visitors to other web pages, within your website or on to external websites. Hyperlinks can be an image, a word or a phrase in the document that visitors can click on. To insert a hyperlink highlight the text or graphic image and then click on the hyperlink icon and type in the full address of the webpage/site you want it to link to.

Going live

Once you have constructed all the pages you want, and are happy with everything, it is time to publish your site on the Internet. To do this you’ll need to copy all your pages from your PC onto a computer that is connected to the Internet — a web server.

Many Internet Service Providers allow their users some free server space from which to host their websites, or you could find a web hosting service, many of which will also host your site for free.

If you choose a free web server they will provide instructions about uploading your files onto their web server. It’s very easy but as it is free it will also come with conditions. For example you may have to put their banner ads on your site. Alternatively you can pay for a web design company to build and host your site for you. This needn’t be that expensive and web design and hosting also comes with technical support.

Html Code

Password protected directory

If you want to include an area which is only accessible to registered users then you will need to create a secure password protected directory. Some ISPs provide this service and all good web design agencies should offer it. Requiring users to enter a password and log into certain areas or features is a great way of monitoring website traffic and gathering information about your visitors.

When it comes to a business plan, size matters. It needs to contain enough information to give the reader (even if it’s only ever you) a balanced, realistic picture of your whole venture, but not so much that it feels like a partwork you should collect in 52 weekly instalments.

Appearance also counts for a lot. A professionally-presented, well laid-out, easy-to-read document with a plastic cover portrays a business which knows what it is doing. A few scruffy bits of paper held together by a paper clip do not.

So before you get into the nitty gritty of the actual content, what are the golden rules of business plan writing?

Essential tips

1. Don’t be afraid to write it yourself. It’s your business and your vision — no one else can put it into words in quite the same way. You want to capture the reader’s imagination — be it an investor, an employee or yourself. Use your own enthusiasm, excitement and vocabulary to do this (but don’t get carried away). If you don’t write it yourself, the reader will want to know why.

2. Use straightforward language and resist the temptation to hide behind industry jargon and big words. Keep your paragraphs short and punchy and use bullet points to break up the copy. If you can’t communicate what you are trying to say in simple sentences, then it looks as if you don’t understand it yourself or are trying to hide something. Your reader will become confused or suspicious.

3. Use headings to divide up your copy. Blocks of text on a page are dreary to read. Subheadings help people keep track of where they are and what you are trying to tell them.

4. Charts and graphs should only be included if they are needed to illustrate a point you wish to emphasise. If they don’t actually tell the reader anything, they won’t impress anyone.

5. Your business plan should be based on genuine research, but don’t bombard the reader with statistics. Summarise the findings in the main report, attribute them to a source, and attach more detailed results in an appendix.

6. Don’t be tempted to exaggerate, or put in over-optimistic market forecasts and
predictions. Analysts can see straight through wild claims and, even if they accept them, you will then be expected to deliver against unrealistic targets. You are setting yourself up for failure.

7. Include an executive summary at the beginning of the document. Explain in two or three paragraphs the nature of your business, the purpose of your plan, and an outline of your objectives.

8. Number your pages and include a contents page. This makes it easy for the reader to find their way round.

9. Use plastic covers on your business plan. This keeps it looking smart and creates a more professional impression. Don’t forget to give it a title either.

10. Check, check and check again. Proofread rigorously for spelling mistakes, grammatical inconsistencies and other credibility-damaging errors. Ask trusted friends, family or colleagues to critique it for you. And even consider getting professional advice — perhaps from your accountant or lawyer — does it make sense to them?

What information should I include?

The specific information required will vary according to the purpose of your business plan. If you have been asked to draw one up, ask if there are any specific requirements. The basic aim of any business plan, however, is to describe the actual business and then separate out the various business processes and show that you’ve given each one proper consideration.
Not only must you describe the strengths and weakness your business faces today, but also outline the opportunities and threats you may face tomorrow.

Don’t be afraid to address the bad as well as the good. Every business has problems. If you don’t recognise your own, you can’t begin to deal with them and that’s what could worry a potential investor or other interested party.

How does this translate into an actual plan?

After the cover, contents page and executive summary, your business plan should contain the following information:

Company background

The first page of the plan proper (ie after the contents page and executive summary) should give a brief history of your business up to the present day. When and why was it launched? How has it changed over the years? What is the ownership structure today? And what is its track record?

Market overview

The next section should describe the products or services you currently sell. What do they do? What benefits do they offer customers? And how do they differ from their competitors? Don’t hide behind hyperbolic phrases such as market-leading or cuttingedge unless you can back them up.

If product development is planned now or in the future you should explain your proposition here.

You also need to describe the market you compete in today — its size, the value of your share and your main rivals — but also the market you will compete in tomorrow.

Even if you want your business to stand still, its environment will change and you need to show that you have planned for this.

What are the key influences (eg an ageing population) on your market and how will they affect your business? What new competitors could enter the arena? If you expect the size of the overall market to grow, how can you justify your forecast?

Finally in this section, explain how you use the 4 Ps of marketing — place, price, product and promotion — to persuade customers to buy your products or services. You may also want to draw up a separate marketing plan. If you have a properly planned marketing strategy you should be able to justify everything from how much you charge to where you place your press ads. If one of your objectives is to enter new markets or grow your share of the existing one, you need to explain how you will do this.

You should also detail your marketing budget, whether or not this needs to grow, and how you evaluate the return on marketing investment.

People

Now describe the people your business relies on. This section should include
management and staffing charts and an assessment of what keeps them loyal — salaries, profit share, bonuses etc.

It should include an assessment of any staffing shortfalls — whether it’s specific skills that are lacking or a need to reduce workloads. You should also assess any management vulnerabilities — if key personnel left, where would that leave your company?

You should also detail how much external expertise your business relies on such as solicitors, accountants, non-executive directors and so on.

Operations

This is where you outline the premises and facilities your business couldn’t function without.

What is the status of these assets? Do you own them outright or could you be subject to rises in rent or lease payments? Do you have spare capacity you could generate a better return from? Or will you need to invest in more property and/or equipment if you intend to expand?

If relevant, this is also where you detail production processes and logistics and any vulnerabilities you face when it comes to producing the right quality and quantity of goods on time.

Finances

You may need your accountant’s help with this section. You have to provide realistic projections estimating how much money your business will make over the next few years. You also need to explain what assumptions you have made to arrive at these projections; what the break even point is (taking into account additional costs you expect to incur as your business grows); and your exit strategy should things not turn out as you planned.

Strategic Business Plan

Appendices

Financial reports, detailed market research, and other support information should be attached to the end of the document. This stops too much detail interrupting your narrative flow but reassures readers that your plan is grounded in reality.

How do I lay it all out?

Use language to communicate your individual flair and personality — not the layout of your plan.

Don’t be tempted to use whacky fonts, unfunny cartoons, coloured paper or anything else that will distract from what you are actually saying.And if your business plan is for an external audience make sure it complies with their expectations. Business plans for financial institutions are expected to conform to a specific layout and deviating from this will not help you.

Where do I go for more help?

Your accountant or lawyer should be able to provide you with some of the information you need, for example financial analysis.

You owe it to yourself to take time to reflect on your work and do yourself an appraisal, or else there is no HR department to make you.  It’s easy to focus on many other aspects of your business but yourself. This could be because things are going well or you are trying to figure out where you are going wrong but don’t seem to be able to identify the problem.

It is likely to be a mixture of different things and the answers may be thrown up by the skills audit you should do when you first consider setting up your business.

Break your goals down

You see, what you want is a powerful motivator. Once you have settled your goals, it makes it easier to work out how you can actually do it. Review them once a week to see if they are still realistic and if you are taking active steps toward their realisation. You will probably see goal setting is not a one-time task with the results set in concrete. Instead, its’ a continuous process and you should be able to analyse and refine what you are subsequently doing.

Be a student of personal development

Acquiring new skills doesn’t just give you more practical abilities. This is what will keep you going, each time you feel discouraged, listen to or watch some motivational message. The process of learning boosts self– esteem increases your confidence and stimulates the mind. Rely on your networks
